Privacy policy

This policy explains what information we collect, how it is used and shared, and how you can contact us about your privacy.

Information we collect

When you contact us, we collect the name, email address, topic, and message you provide. If you report an issue, we collect the report details, affected URL, and any name or email address you choose to include.

Career applications may include your name, preferred name, email address, phone number, country, age, professional profile links, résumé, cover letter, and qualification answers. Onboarding also collects your chosen work email address, recovery email, and account credentials.

When your browser connects to this website or its embedded services, service providers receive technical information such as your IP address and browser information. Messages and other information you enter in our chat widget are processed by the chat provider.

How we use information

We use the information you provide to respond to inquiries, review applications, communicate about recruitment, set up work accounts, investigate service issues, and provide support. Technical information helps deliver the website, troubleshoot problems, and protect services against misuse.

Please share only information relevant to your request. Do not include passwords, payment details, government identification numbers, or other sensitive information in messages, reports, or chat conversations.

Sharing and service providers

Information is processed by the team members and service providers involved in handling your request. Our website uses services for hosting, database storage, file uploads, email delivery, and chat. These include Vercel Blob for uploaded documents, Brevo for transactional email, and Newo for the embedded chat widget.

Uploaded application documents are stored at public file URLs: anyone with a document link can access it. If an outage report is published, its description, affected URL, and any reporter email included in the report may appear in the public outage details. Avoid including information you do not want shared in an outage report.

Information may also be disclosed where required by applicable law or as needed to investigate fraud, abuse, or security incidents. Service providers may process information in countries other than your own, where privacy laws may differ.

Cookies and embedded chat

The administrator sign-in uses a cookie named nodedistro_admin to maintain authenticated access. Its default lifetime is approximately 30 days, although the server configuration can change this period. Blocking or deleting this cookie can sign you out or prevent authenticated features from working.

The Newo chat script loads when you visit the website, even before you send a message. Embedded services may use their own cookies or browser storage. You can manage cookies and site storage through your browser settings; restricting them may affect chat or other features.

Retention and security

Retention depends on the purpose of the information, the status of your inquiry or application, operational needs, and applicable legal requirements. Copies may also exist in email systems, uploaded files, service-provider records, and backups. Contact us to ask about retention or request deletion of your information.

No website, storage service, or method of transmission can guarantee complete security. In particular, treat public document links as information that can be forwarded or shared, and avoid uploading unnecessary sensitive details.

Your choices and requests

You can choose not to submit optional information, use email instead of embedded chat, and manage cookies through your browser. Some requests or applications cannot be processed without the required details.

Contact us to request access to, correction of, or deletion of your personal information, or to raise a privacy concern. Depending on the law that applies to you, you may also have rights to object to or restrict processing, withdraw consent, or complain to a privacy regulator. We may need to verify your identity before handling a request, and legal obligations may limit what we can delete.
